Who we are
This website is run by Ops Bench, based in Toronto, Ontario, Canada. In this policy, “we”, “us”, and “our” mean Ops Bench. We follow Canada’s federal privacy law for businesses, the Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect
When you fill in our contact form
We store what you type in the form:
- Your name and email address (required)
- Your type of business and your message (required)
- Your company name and phone number (only if you give them)
We also store, along with your message:
- The date and time you sent it
- Your browser’s “user agent”, a short line of text that says what browser and device type you use. It helps us spot spam.
- Which of our pages sent you to the form, if you came from one of our campaign pages (for example “stop-missing-calls”)
We do not store your IP address with your message.
When you fill in our Audit intake form
If you buy an Automation Audit, we send you a link to a questionnaire to fill in before our first call. We store your business name, your name, your email address, your type of business, and your answers (for example the software you pay for and what it costs, how calls and paperwork are handled today, and any link to a shared folder you give us). We also store the date and time you sent it, your browser’s user agent, and a reference that links the form to your Audit. We do not store your IP address with it. We use it only to prepare for and run your Audit. The form asks you not to include any customer or patient personal information, and has no file uploads.
While you fill it in, your answers are saved in your own browser (its “local storage”) so you can come back later. That copy stays on your device and is not sent to us until you press send. It is cleared when you send the form, or when you press “Clear saved answers”.
When you email us
We keep your email and our replies so we can answer you and follow up on your request.
When you visit any page
Our website is hosted by Cloudflare. Like any web host, Cloudflare’s systems process technical information when you load a page, such as your IP address, browser type, and the page you asked for. They use it to deliver the page and to protect the site from attacks and abuse. We do not use this to identify you.
Cookies and analytics
Our own website code does not set cookies, and we do not use analytics, advertising pixels, or tracking tools on this site. Our fonts are stored on our own site, so no font service sees your visit. Cloudflare may set a strictly necessary security cookie in some cases, for example to tell real visitors apart from bots. If we add analytics or any other tool that collects data about visits, we will update this page first.
Why we collect it
- To reply to your message and talk with you about your request
- To book and prepare for a call you asked for
- To keep records of our conversations with possible clients
- To keep the website working, secure, and free of spam
We only use your information for these reasons, or for a new reason you agree to.
Your consent
When you send us the contact form or an email, you agree that we can use your information to reply and to follow up on what you asked about. You can withdraw your consent at any time by emailing us. If you do, we will stop contacting you and delete your information, unless the law requires us to keep it.
Emails we send you
Canada’s Anti-Spam Legislation (CASL) sets rules for business emails and texts. We only send you commercial emails if you have agreed to them, if you contacted us first about a related question, or if your business email address is published (for example on your website) and our message is relevant to your work. Every marketing email from us says who we are, how to reach us, and includes a simple way to unsubscribe. We act on unsubscribe requests within 10 business days.
Where your information is stored
Contact form messages and Audit intake answers are stored in a database run by Cloudflare, our hosting provider. Cloudflare is a US company with servers around the world, so your information may be stored or processed outside Canada, including in the United States. While it is there, it may be subject to the laws of that country, and authorities there may be able to access it. We remain responsible for your information and choose service providers that protect it.
How long we keep it
We keep contact form messages and related emails for up to 24 months after our last contact with you, then delete them. If you become a client, we keep records as long as our agreement and the law (for example, tax rules) require. You can ask us to delete your information sooner.
Who we share it with
We do not sell or rent your personal information. We share it only with service providers that help us run our business, such as our website host (Cloudflare) and our email provider, and only so they can provide that service to us. We may also share it if the law requires us to.
Your rights
You can ask us to:
- Tell you what personal information we hold about you
- Correct anything that is wrong
- Delete your information
- Stop sending you emails
To make a request, email hello@example.com. We may need to confirm who you are first. We will reply within 30 days. If you are not happy with our answer, you can contact the Office of the Privacy Commissioner of Canada.
How we protect it
Our site uses an encrypted connection (HTTPS). Only the people at Ops Bench who need your information to reply to you can see it. No system is perfectly secure, but if a breach puts you at real risk of harm, we will tell you and the Privacy Commissioner as the law requires.
When we work on your systems
This policy covers this website only. When you hire us, we may handle your business’s data or your customers’ data while we build or support your tools. That work is covered by our written client agreement, including a data processing agreement, which sets out what we can access, how we protect it, and how we return or delete it at the end.
Changes to this policy
We may update this policy when our website or the law changes. We will post the new version on this page and change the “Last updated” date at the top. If a change is important, we will make it clear on this page.
